Area of responsibility
We are looking for an organised and detail-oriented Administration Assistant to join our Business Support Team in delivering key logistics and sales support to the Danish Crown UK business. As a Business Support Assistant, you will play a crucial role in supporting the day-to-day operations of our food manufacturing business. Your responsibilities will encompass a range of administrative and coordination tasks to ensure the smooth functioning of various business processes. The successful candidate will be responsible for exports from GB to the EU from our Manchester site. This includes arranging logistics, assisting the VET on site when loading, issuing export declarations, and invoicing. The recruit would also be responsible for processing sales orders, producing weekly shipment plans for the sales team and customers.
Responsibilities;
As part of the Business Support Team, you will work together sharing the day-to-day responsibilities of
making the operations run smoothly. This includes, but is not limited to, the following tasks:
Administrative Support:
- Provide administrative assistance to various departments within the organisation.
- Assist in managing and organising paperwork, documents, and records.
- Assisting the VET on site for exports from our Whitefield site. Responsible for documentation,
arranging transport, CMRs, invoices and export declaration.
- Leading the Brexit meetings via Microsoft Teams for the UK division.
- Order planning with production sites in Europe, along with the commercial & buying teams.
- Create daily shipment plans for containers arriving in the UK from Europe.
- Raise customer weekly delivery schedules.
Communication:
- Facilitate communication within the company, including disseminating information to relevant
departments.
- Liaise with external hauliers to ensure shipments are entered into the UK in a timely manner.
- Communicating with customers on potential delays of shipments.
Data Entry and Analysis:
- Input and maintain accurate data in company databases and systems, e.g., processing orders,
raising invoices, processing stock movements, processing claims, etc.
- Assist in data analysis and reporting as needed.
- Produce weekly SAP reports to ensure all orders have been invoiced efficiently.
Inventory Management:
- Support inventory management processes, including tracking stock levels and assisting with
regular audits.
- Resolving stock issues in accordance with the planning department.
Documentation:
- Assist in creating, updating, and maintaining various documents, such as manuals, procedures,
and reports.
- Raising Custom Declarations for Imported Goods from the EU
- Raising IPAFFS (Government gateway).
- Producing customer Trade Documents.
Requirements;
The successful candidate will have proven experience working in a similar role, ideally within logistics or data entry.
Ability to work within a team and independently, with strong communication skills.
A team player who can cope under pressure and multi-task
Knowledge of SAP - preferable.
Knowledge of customs export/import - preferable.
Flexibility of time - typical hours are 08:00 to 16:30 Monday to Thursday and 08:00 to 15:00 Friday, but there is a late shift which the team manage on rotation from 18:00 to 19:30 Monday to Thursday and 20:00 to 23:00 Friday. There is also some requirements to work weekends on rotation from 08:00 to 11:00 on Saturday and 09:00 to 11:00 on Sunday. The late and weekends are typically 1 week in every 3
